What is Cutivo?

Cutivo is a private AI coach that watches your real meeting transcripts, runs short coaching sessions with you about specific behaviours you want to improve, and then checks your next meetings to tell you — with verbatim evidence — whether you actually did what you committed to. It's designed to close the gap between insight and follow-through, which is where most professional growth gets stuck. Everything is sold to you, not your company; nobody else sees your data.

How do I get my first coaching insight?

Cutivo needs at least one meeting transcript. You can get one in any of four ways: (1) connect Zoom in Settings → Integrations and your recordings sync automatically; (2) connect Granola with an API token from your Granola account; (3) connect Plaud — Cutivo gives you a unique email address to set up as an auto-flow destination in the Plaud app; (4) use the Zapier webhook for Otter, Fireflies, Fathom, tl;dv, or anything else. You can also paste a transcript manually. Once a transcript lands, analysis runs (usually 30–90 seconds).

How the loop works

What's a coaching commitment, and how does Cutivo track it?

When you finish a coaching session, you leave with a specific behaviour to try in your next meeting (e.g. “ask one clarifying question before responding”). Cutivo stores that as a tracked commitment. On every later transcript analysis, it checks whether the committed behaviour showed up: a matching positive signal counts as kept; a contrary signal counts as slipped. You see the running tally on your dashboard, including the verbatim quote from the meeting where it worked. After three confirmed wins, the commitment graduates to kept and lives on permanently in your Growth Record.

What is the Growth Record?

Found at /growth, this is your private accumulating history: the themes you're working on (as trajectory arcs over time), the commitments you've kept, and the themes you've graduated. It's the part of the product that gets more valuable every week — and the part nobody else can re-create for you, which is why we built it. Header stats show weeks active, themes worked, commitments kept, and graduations.

What's a graduation?

When a growth theme transitions to the resolved state — meaning you've accumulated enough positive evidence over time that the behaviour you were working on is consistently present — Cutivo creates a keepsake graduation milestone and sends you a one-time push notification. The milestone shows up on your Growth Record as a card. It only fires once per theme per graduation; we don't spam.

What is a grounded rehearsal?

On any coaching insight that has a hard moment (a negative behavioural signal with verbatim evidence), there's a “Rehearse this moment” button. Tap it and Cutivo starts a coaching session where the coach role-plays the counterpart from the real excerpt — so you can run the moment back and practise a better response. When you're done, the coach drops the role-play and debriefs against your active commitment for that theme.

What is the Growth Story?

From /growthGenerate my Growth Story, you can build a private, evidence-based narrative of how you grew over a chosen period (default last 90 days). The narrative cites your real themes, your kept commitments, and verbatim before/after quotes from your meetings — no invention. Export as Markdown, copy to clipboard, or print. It's designed as substance for your own performance review or promotion case, but it's yours: you choose if and when to share it.

What does my trajectory score mean?

Each growth theme has a trajectory score from −1.0 (struggling) to +1.0 (improving). It reflects the direction of change in that pattern over time — not an absolute rating of your ability. The arcs you see on /growth are built from daily snapshots so you can watch the line move. Cutivo also displays a confidence level (low/medium/high) so you know how much data is behind the number.

Connecting your tools

How do I connect Zoom?

Settings → Integrations → Zoom → Connect. You'll be redirected to Zoom to authorise. Once connected, Cutivo automatically receives transcripts from future cloud-recorded Zoom meetings — make sure cloud recording and transcription are enabled in your Zoom settings.

How do I connect Granola?

Settings → Integrations → Granola. You'll need a Granola API token (from your Granola account settings). Paste it in, click Verify & Connect, and Cutivo will sync your recent notes and poll for new ones every hour.

How do I connect Plaud?

Settings → Integrations → Plaud → Set up. Cutivo generates you a unique email address (looks like <64-char-token>@cutivo.app). In the Plaud app, set up an Auto-Flow that emails each finished recording to that address — every transcript will then arrive automatically with full speaker labels. No Zapier needed. Copy or regenerate the address any time.

How do I use the Zapier webhook (Otter, Fireflies, Fathom, tl;dv)?

Settings → Integrations → Zapier → Connect to get your personal webhook URL. In Zapier, create a Zap: trigger on your transcription app, action on Webhooks by Zapier → POST, paste your Cutivo webhook URL, map the transcript text to the transcript field. New transcripts then flow into Cutivo automatically.

What's the difference between &ldquo;Auto-analyse&rdquo; on and off?

Each integration has its own Auto-analyse toggle (Settings → Integrations → on each card). With it on, new transcripts from that integration are analysed immediately. With it off (the default), Cutivo saves the transcript and pushes you a notification so you can review and approve (or skip) before any analysis runs — useful when you want a chance to drop transcripts you don't want analysed.

What does &ldquo;Confirm speaker&rdquo; mean?

When a transcript arrives from an integration, Cutivo tries to figure out which speaker is you (using your saved speaker label, then your first name). If it's not confident, the transcript lands as Confirm speaker rather than being analysed with the wrong voice — analysing the wrong speaker wastes your quota and produces useless insights. Tap the transcript, pick yourself from the speaker chips, and (optionally) check “Remember for this integration” so future imports skip the prompt.

What file types can I upload manually?

Plain text pasted into the upload form. If your transcript is in a .docx or PDF, copy and paste the text content. We don't parse binary files directly.

Notifications & nudges

How do I enable push notifications on my phone?

On iOS you must first install Cutivo as a PWA via Safari: tap the Share button → Add to Home Screen. Open the installed app and go to Settings → Notifications. On Android, enable from any browser. If you previously denied notifications, clear the permission in your browser/phone settings, then try again.

What are the nudges and why do they change every time?

The reminders you opt into rotate across several signals: commitment progress (kept/slipped status), trajectory movement on a theme, recent positive evidence, your weekly priority, a development action, graduations, and re-engagement when your usage drops. The engine remembers what it sent last time so the same body never goes out twice in a row — a stuck reminder trains you into notification blindness.

Plans & billing

What's the free plan?

One transcript analysis per month, manual upload only, and the full set of behavioural scores + coaching insights on that transcript. No coaching sessions, no integrations, no Growth Record. Free is meant to let you see what the analysis looks like on a real meeting; Pro is the version designed to be used as a coaching loop.

What do I get on Pro?

20 hours of transcript analysis per month, unlimited coaching sessions (incl. grounded rehearsals), all integrations (Zoom, Granola, Plaud, Zapier), the Growth Record + graduations, Growth Story export, weekly digest, and the self-refreshing nudge engine. $29/mo or $249/yr (saves 28%).

What's the Founding Member plan?

$149/yr (≈$12.42/mo, annual only), full Pro access, capped at 100 seats. The price never goes up for you, and you get a Founding Member badge plus direct input on the roadmap. Once 100 people claim a spot, the tier is gone.

What happens when I reach my monthly limit?

New transcripts from integrations are saved but not analysed — they show up on the Transcripts page with a Limit reached status. You can upgrade any time to analyse them, or wait until the 1st of next month when the limit resets.

Is there a free trial of Pro?

Yes — sign up and the 7-day Pro trial starts automatically. No credit card required. At the end of the trial you can pick a plan (Pro monthly, Pro annual, or Founding) or drop to Free. You won't be charged unless you explicitly subscribe.

Privacy & data

How is my data used? Does Cutivo train AI on my transcripts?

Your transcript text is sent to Anthropic's API to generate coaching insights and run sessions. Anthropic does not train its models on API data. We don't sell your data, don't run ads, and don't expose your transcripts to anyone else — there's no manager view, no team dashboard, no admin panel that reveals your data to someone else. Can my manager or employer see my Cutivo data?

No. Cutivo is single-player by design — we don't build admin views, manager consoles, or team rollups, and we won't. The product is sold to you, not your company. Adding any kind of shared view would break our entire model, so the answer to this question stays no permanently.

How do I delete my account and all my data?

Settings → Privacy → Delete my account. Permanently deletes all your transcripts, insights, themes, commitments, coaching sessions, Growth Record, and profile data. Cascade is automatic and irreversible. If you need help, email [email protected].

Is Cutivo a replacement for therapy or a human coach?

No. Cutivo is an AI-powered reflection and growth tool, not licensed therapy or coaching. Insights are produced by AI and may be incomplete or imperfect. If you're dealing with mental health challenges, please speak with a qualified professional. Cutivo works best as a complement to — not a replacement for — human support.

Troubleshooting

My transcript landed but says &ldquo;Confirm speaker&rdquo; — what do I do?

That's the speaker-confirmation gate. Tap the transcript, pick yourself from the speaker chips, and (optionally) check “Remember for this integration” so future Plaud / Zoom / Granola imports skip the prompt. Analysis then runs with the right speaker the first time — no wasted quota.

My transcript says &ldquo;Awaiting approval&rdquo; — why?

That integration has its Auto-analyse toggle off, so Cutivo waits for you to explicitly approve before running analysis. Flip the toggle on in Settings → Integrations if you want this integration to analyse everything automatically, or just tap Analyse on the row when you're ready.

I generated a Growth Story but the screen errored out — did I lose it?

Almost certainly not. Generation can take 60–90 seconds; if the browser's patience ran out before the server's, the story still persisted. Go to /growth/story and look in the Previously generated list at the bottom — your story will be there.

Something isn't working — how do I report a problem?
