Privacy Policy

1. Who we are

Cutivo (“we”, “us”, “our”) is an AI coaching platform that analyses meeting transcripts to help professionals grow. We are the data controller for personal data processed through cutivo.app.

2. What data we collect

  • Account information: Your name and email address, provided when you sign up via Clerk (our authentication provider).
  • Coaching profile: Your professional role, goals, values, communication preferences, and coaching style preferences — entered during onboarding.
  • Meeting transcripts: Text transcripts you upload manually or import via connected integrations (Zoom, Granola, Zapier). We store the raw text and our AI-generated analysis of it.
  • Coaching session messages: The text of conversations between you and your AI coach within Cutivo.
  • Goals and insights: Goals you set, AI-identified growth themes, extracted behavioural insights, and your trajectory score over time.
  • Usage and technical data: Log files, error reports, and push notification subscription tokens. We do not use third-party analytics cookies.

3. How we use your data

  • To provide the Cutivo coaching service — analysing transcripts, generating insights, running coaching sessions.
  • To send you push notifications (weekly digests, coaching nudges) if you have opted in.
  • To improve service reliability and diagnose technical errors.
  • To comply with legal obligations.

We do not sell your data. We do not use your data to train AI models (see Section 4 for how your transcript text is processed by our AI sub-processors).

4. Sub-processors

Cutivo uses Anthropic Claude (provided by Anthropic, PBC) to analyse your meeting transcripts and power your AI coaching sessions. This means your transcript text and coaching messages are transmitted to Anthropic’s API for processing.

Anthropic does not train its models on data submitted via the API. Their privacy policy is available at anthropic.com/privacy.

We also use Clerk for authentication. Clerk processes your name and email address as part of account management. Their privacy policy is at clerk.com/privacy.

For email, we use Resend to send transactional messages (trial reminders, weekly digests, and account notifications) and Postmark to receive transcripts you forward to your personal @in.cutivo.app address (for example, from Plaud). Email sent to that address is processed by Postmark and stored in your Cutivo account. Their privacy policies are at resend.com and postmarkapp.com.

5. Data retention

You can set your preferred data retention period in Settings → Privacy. Transcripts and derived insights older than your chosen period (30 days to 10 years) are automatically deleted. Coaching session messages follow the same retention window.

If you delete your account, all personal data — transcripts, insights, goals, coaching sessions, and your profile — is permanently deleted within 30 days.

6. Your rights

Depending on where you live, you may have the right to:

  • Access the personal data we hold about you.
  • Correct inaccurate data.
  • Delete your data (“right to erasure”). You can do this directly in Settings → Privacy → Delete account, or by emailing [email protected].
  • Portability — request a copy of your data in a machine-readable format. Email us at [email protected].
  • Object to processing of your data.

To exercise any of these rights, contact us at [email protected]. We will respond within 30 days.

7. Meeting transcripts and consent

When you upload or import a transcript, you confirm that you have the right to share its contents with Cutivo. This includes transcripts of meetings where other people were present. You are responsible for ensuring you have the necessary consent from other participants as required by the laws in your jurisdiction.

Cutivo does not record meetings. We only process transcripts that you explicitly provide.

8. Data security

Your data is stored on a dedicated server (not shared hosting). We use HTTPS for all data in transit. Access to the database is restricted to application processes only.

If we discover a data breach that affects your personal data, we will notify you within 72 hours where legally required.

9. Cookies

Cutivo uses one essential session cookie set by Clerk to keep you logged in. We do not use advertising, tracking, or analytics cookies. No cookie banner is required.

10. Changes to this policy

If we make material changes to this Privacy Policy, we will notify you by email or via an in-app notice at least 14 days before the changes take effect. Continued use of Cutivo after that date constitutes acceptance of the updated policy.
